Clinic break-even calculator: how many new patients do you need?

See how many new patients it takes to pay back a new clinic, centre or piece of equipment, and how many consultations that means.

Your numbers

Results are estimates to guide decisions, not financial advice. Your numbers stay in your browser.

Turn an investment into a patient target

A new centre or machine is only worth it if enough new patients use it. Converting the investment into new patients a month, and consultations a week, gives your team a target they can act on.

Profit per patient = revenue per patient × (1 − variable costs)
Patients needed = (investment + monthly costs × months) ÷ profit per patient
Consultations needed = patients ÷ consultation-to-treatment rate

Ways to reach the target sooner

  • A complete Google Business Profile with steady reviews, so nearby patients find you.
  • Clear treatment pages that answer cost, recovery and "is it right for me" questions.
  • Fast replies to enquiries and a simple booking path on WhatsApp.

Questions

Should I use first-visit revenue or a year of revenue?

Use the revenue a new patient brings in their first year, including follow-ups. That is closer to their real value to the practice.

Does this apply to diagnostics and physiotherapy?

Yes. Use revenue per new patient or client, and the share of enquiries that book.

What if patients come from referrals?

Count all new patients. The calculator shows the total needed; marketing fills the gap that referrals do not.

Is my data saved?

No. The calculation runs in your browser. Nothing is sent unless you choose to email yourself the result.
